Four guests arrive at 8 pm, and the rest of their group follows half an hour later. They share a reservation but arrive separately. Entrance staff need to know how many guests have already been recorded and how many are still expected.
100LICA supports QR checks and manually recording arrivals, including partial group arrivals. One reservation can be tracked across several arrivals.
A QR code opens the reservation check
The reservation’s status matters more than simply having an image of a code on a phone. A valid reservation and the permitted arrival count determine the next step. A cancelled reservation should not remain a valid basis for entry.
For a group reservation, staff record how many people have just arrived. When the rest of the group comes, the remaining count is checked. The system should not record more arrivals than the reservation covers.
When the code is not available
A guest may have lost the message or run out of battery. Staff therefore need a manual check through authorised access. The team should know in advance which details to request and how to reliably find the correct reservation.
A manual process does not promise offline operation. Organisers should check connectivity, devices and access at the actual entrance and prepare their own procedure for a technical interruption.
Rehearse a real shift
A good test includes a whole group arriving together, a partial arrival, a repeated scan and an attempt to check a cancelled reservation. Include the staff who will actually work at the entrance.
Agree who resolves exceptions: a disputed guest count, the wrong event or a reservation whose status needs further checks. Clear responsibility helps staff direct guests to the right person.
QR checks are useful as part of a prepared reception process. For a group arrival and staff workflow demonstration, contact sales@100lica.rs.
